Meet Director

  1. Meet director's role is special as he/she is the one ultimately resposible for organizing the meet crew. Extensive description of the meet director's responsibilities before, during and after the meet is available in Adobe PDF format.

Course Setter

  1. Design courses using USOF guidelines with color course designations including a fail-proof white (beginner) course.
  2. Assign control numbers to flags.
  3. Make up "clue sheets" using English only for white, English & symbols for yellow, and symbols only for orange and advanced.
  4. Streamer and identify control locations.
  5. Have course vetted by appropriate person.
  6. If maps are to be pre-printed, contact Jim Russell at least one week ahead of event.
  7. Send a brief description of available courses to Meet Director and/or Webmaster.
  8. Write "course setter notes" if needed and post at event.
  9. Set out control flags.
  10. Make up master maps to facilitate flag pick-up.
  11. If possible, help out during the meet where needed.

Greeter

  1. Greet people as they arrive, especially newcomers.
  2. Discuss procedures, hand out waivers with clipboards and recommend clinic and course.

Registration (two - four people)

  1. Check all participants' waivers for signatures, etc.
  2. Assign number to each team, and make list of teams by number.
  3. Take money, give punch card, bag, and proper map with clue sheet.
  4. Remind participants that before going out on course, they must report to "start" and to "finish" regardless of completion.
  5. Sign up new members, sell permanent maps, whistles, etc. and loan compasses if needed.

Start/finish (two people)

  1. Record names and numbers, assign and record start times.
  2. Stress that they must report back to "finish".
  3. At "finish", take punch card and record time.
  4. Compute race time and record on start sheet and punch card.
  5. Post punch cards on "results tape".
  6. Assure Meet Director that all persons have returned to finish area.

Flag pickup

  1. Get assignments from Meet Director or Course Setter.
  2. Pick up flags and Velcro numbers & return to Meet Director. Note those that need repair.
  3. Remove all streamers.

Food

  1. Provide and set up snacks, drinks, and garbage bag(s). Food to include fruit, cookies, pretzels, etc.
  2. Pick up area and dispose of garbage after the meet is over.
  3. Submit receipts for reimbursement from money box.

String O

  1. Design and put out simple streamer course.
  2. Record all starters and finishers.
  3. Upon completion, hand out "Little Troll" stickers and/or cards.
  4. Wind up streamer tape at the end of the meet.
  5. Note items in short supply.
  6. Return spool, box, and sign to Meet Director.

Results Typing

  1. Collect punch cards from each course (keep in finish order for convenience).
  2. Collect completed waivers to aid in name spelling.
  3. Email results in plain text format (use spaces, not tabs) to Webmaster (dobretsov@yahoo.com). Include list of meet workers & brief write-up. When typing the results, ensure all names in the groups/families/teams are listed.
  4. Prepare list of top three places for each course (most difficult course first) and call the D&C, Sports Section Results 258-2400 after 5P.M. Give date and place of meet and be sure to include each name (individual or team member). These results must be reported the day of the event in order to be published.
  5. If the event includes a Sprint that is part of the Sprint Series, send a copy of the sprint results (males & females) to the Commissioner, Peter Gagarin (pg@crocker.com), within 24 hours of the event.
  6. For ribbon mailing inform Dayle Lavine (rdlavine@frontiernet.net) or [summer only] Sandra Lomker (slomker@frontiernet.net) of the top three finishers with addresses for each course.
  7. Return waivers to Randy McGarvey or any Board member when convenient (for insurance purposes). IF ANY MEMBERSHIP FORMS ARE MIXED IN WITH WAIVERS, MAIL THESE TO Carol Moran, 40 Erie Crescent, Fairport 14450.
  8. If E-Punching is used, go over finish results with person in-putting into computer and check spelling using the waivers.
